Fail to plan, plan to fail

“What’s hijacking your planning?”

Friday morning started with a gym session, followed by a coffee and reviewing my objectives for the day: Offsite Quarterly Planning with Edwina Ogilvie MRCSA, Coaching Call, Dinner at the Woolwich Pier Hotel. Nice little Friday.

I arrived home to mayhem; one child sick, one child late for the train, the other refusing to go to before school care, client calling – “I need your help”, day to day pressing in…. “should we postpone today?”.

No, we can’t, it’s the most important thing we can do.

We sorted the boy and prioritised our Quarterly Planning Session.

How did we go? We started the day with a review of the last 90 days, what worked, what didn’t? How many of our Rocks (quarterly priorities) did we complete? What was our revenue & profit? What did we learn, how can we get better?

Where are we at? Review our mission, vision and values, 3-year picture, are the one-year goals still right? Revenue & Profit? Yes? Only a few tweaks…. Feeling pretty good… there’s not a lot here we could be finished in a few hours. Excellent!

Next compile all the issues from the review, idea’s and opportunities we collected over the last 90 days… quite a lot really.

Where are we going? Ok, what’s most important this quarter? Review the 1-year goals, issues and agree on the 3-7 most important topics. We’ll do it separately so we can debate & really make sure we’re on the same page. Happy days, topics are done. Convert them into SMART (Specific, Measurable, Achievable, Realistic, Time-based) Rocks (90-day priorities) … challenge ourselves to be specific and break them down (a learning from last quarter). Company Rocks done, two each. Clean up issues that were solved by achieving the Rocks we just set. Feeling good, time for lunch?

After lunch, let’s review all the big issues and write down our individual rocks (keep the maximum to seven). Review and debate, what’s most important for the business? Confirm they’re SMART. Tidy up the issue’s list that these Rocks resolve. Phew, starting to feel the mental efforts… what time is it? 3pm? What? Where did the time go?

Stick with the process; review the outstanding issue’s… keep, kill (for the future) or combine them. Let’s work through the list start by ranking the top 3. 1,2,3 IDS (Identify Discuss Solve the issue), record the ToDo for next week. Move on. Ouch, it’s 4pm… time for the coaching call. Let’s recap & review the day.

How are we?Exhausted, aligned, filled with clarity, light (having shed unnecessary baggage) and EXCITED!

I can’t believe that planning a quarter for two people took a whole day! How many people in your company or leadership team? Have you allowed the urgent minutiae to hijack you from determining the important?
